Trust & Estates Paralegal

Position Overview: Our client, a highly reputable wealth management and investment advisory firm in midtown, is seeking a paralegal to support trusts and estates transactions. This paralegal would assist the Director of Trusts and Estates in servicing clients of the firm, as well as handling in-house operational tasks related to the Trust Department.

Duties & Responsibilities:

  • Data Management and Advisor Communication
    • Oversee input of trust and estate client data into firm database
    • Monitor dates of client estate plan reviews and proactively reach out to advisors to ensure client plans are discussed and up-to-date
    • Generate and review estate plan reports for advisors
    • Maintain and update internal trust manual
    • Create and distribute internal advisor manual regarding estate planning; ongoing communications with advisors regarding Trust Department.
    • Coordinate with client admin department to ensure upkeep of beneficiary designations
  • Estate Planning
    • Review and summarize client estate planning documents
    • Assist in generating estate planning presentations
    • Assist Director with internal trainings for Advisors
  • Trust Administration
    • Where Sontag Advisory principal acts as trustee:
      • Monitor contributions and withdrawals
      • Prepare Crummey notices for annual exclusion gifts
      • Coordinate collection of fiduciary fees
      • Facilitate tax payments
      • Ensure required distribution of income, annuities, unitrust or other fixed payment from trusts where applicable
      • Prepare and send annual beneficiary statements/accountings
      • Facilitate annual trust reviews with Sontag Advisory trustees
      • Monitor trust compliance with IPS
    • Certain other trusts under management:
      • Some or all of the above, depending on individual arrangement with client
  • Assist with special projects and tasks as required

Qualifications:

  • Bachelors’ degree required.
  • Law degree or paralegal certification and experience in trusts and estates law highly preferred.
  • Must be highly organized and detail-oriented.
  • Excellent computer skills; experience with CRM a plus.
  • Continuously exhibits personal integrity and professional initiative.
